The Service and Workshop Officer play a critical role in ensuring the seamless coordination of service, production, and logistics activities within the workshop. This position is responsible for managing the flow of goods and materials, coordinating service and production schedules, and supporting daily workshop operations.

Job Description

Key Responsibilities:

 

Production Coordination

  • Coordinate service jobs, repairs, special orders, and internal requests from initiation through to completion.

  • Act as the central point of communication between the workshop, customer service, and retail teams to ensure accurate order fulfilment and timely delivery.

  • Monitor production schedules and service timelines to meet agreed targets, escalating issues promptly to ensure resolution.

Logistics & Shipments

  • Prepare and coordinate both domestic and international shipments.

  • Collaborate with procurement and supply chain teams to align production schedules with supplier lead times.

  • Manage logistics documentation, including purchase orders, consignments, and invoices, in line with internal procedures.

Stakeholder Engagement & Reporting

  • Build and maintain strong working relationships with Suppliers, Production Planning, Retail Operations, and Project Management teams.

  • Prepare and deliver reports on service volumes, turnaround times, workflow efficiency, and other operational metrics.

  • Identify and assist in resolving cross-functional bottlenecks that impact service delivery or production outcomes.

Team & Workflow Coordination

  • Assist in planning and coordinating daily operations, including effective workload distribution.

  • Support onboarding of new team members and maintain consistent knowledge, processes, and best practices across the workshop.

  • Promote cross-training initiatives to enhance team capability and flexibility.

Desired Skills and Experience

It is essential that you have:

  • Proven high-level communication skills including verbal and written.

  • Good time management and organisational skills and the ability to prioritise conflicting deadlines.

  • The ability to work under pressure and effectively adjust to changing situations. 

  • Very high level of accuracy and attention to detail.

  • The ability to maintain strong, productive working relationships with all stakeholders.

  • Excellent Microsoft Office skills, particularly Word and Excel.

  • Candidates MUST have a current Australian drivers’ licence and be an Australian Citizen or have permanent work rights in Australia.
